Job Description

Parts Order Associate is a position that combines data entry with customer communication, including processing orders, generating quotes, and providing customer service. This role involves entering accurate order details, quote completion,  and working with both customer and sales inquiries. This will be a key role in providing accurate and timely pricing and estimates along with warranty support. Order Entry Responsibilities:
  • Data Entry: Accurately enter customer orders into ERP system, ensuring data integrity. 
  • Order Date Management: Verify inventory levels and ensure products are available along with follow up to key departments for support in determing ship dates.
  • Pricing and Shipping: Determine pricing, calculate shipping costs, and coordinate shipping arrangements. 
  • Customer Service: Address customer inquiries, resolve issues, and provide exceptional customer service.   Work with team on order tracking.
  • Database Management: Maintain and update order information in the company's database.
  • Communication: Communicate with customers, internal teams (e.g., sales, operations), and external partners to facilitate order processing. 
Quoting Responsibilities:
  • Quote Generation: Create and manage accurate and timely quotations for products or services. 
  • Communication: Communicate quote details to customers and sales representatives, ensuring clear understanding. 
  • Quote Follow-Up: Track the status of quotes, follow up on wins and losses, and provide reports. 
  • System Knowledge: Utilize company systems and software to generate quotes and manage pricing. 
  • Collaboration: Work with various departments (e.g., engineering, production, sales) to gather information and ensure accurate quotes. 
  • Customer Interaction: Interact with customers, clarify requirements, and address any questions or concerns related to quotes. 
Skill SetParts Order Associate must have the following essential skillsStrong typing speed and accuracy, proficiency with computer software like spreadsheets and database management systems, attention to detail, organizational skills, and the ability to work independently. Additionally, communication skills, especially written communication, are important for accurately entering and processing data.  Lastly, ability to work in a warehouse if required for order completions and support of operation if needed. Education Parts Order Associate should have a high school diploma or GED. While a college degree isn't mandatory, it can be advantageous for more advanced roles within our company.  Related work experience especially in operations management, inventory control and customer care
